Stocktakes Online — Barcode Datalink
Hire · six scanners

Stocktake scanner hire. Count with them, send them back.

Zebra scanners for hire by the day or the week, anywhere in Australia. They arrive set up for your site and signed in to your portal, you count, you send them back.

Most businesses count once or twice a year. Buying scanners for that means they sit in a cupboard for eleven months, and the battery is flat when you next want them.

What it costs

Per device, inc GST, charging, spare batteries and an access point included.

Not per scan, not per part number, and not a minimum spend. One rate for the device in your hand and everything that keeps it running all day. Every hire goes out with two four-slot charging cradles, six spare batteries and one access point set to take a DHCP address — plug it into your network and the scanners have somewhere to associate. It is a spare access point, not a fix for racking with no coverage; test that first.

Hire Per device All six Ex GST Inc GST
A day $110 6 × $110 $600.00 $660
Four days or more — up to seven $440 6 × $440 $2,400.00 $2,640

Four days is the most you pay. Hire for four, five, six or seven days and it is the same $440 a scanner, so a count that runs over a weekend costs no more than one that finishes on Friday. Most counts are one to three days. Take one device or take all six.

Software and hire together

What it costs all up.

The rate card above is the scanners on their own. Add the software licence and this is the whole invoice, before courier.

What you are doing Software Scanner hire Total ex GST Total inc GST
One scanner, one day $110 $110 $200.00 $220
One scanner, a week $110 $440 $500.00 $550
All six, one day $396 $660 $960.00 $1,056
All six, a week $396 $2,640 $2,760.00 $3,036

Software is $66 a scanner, minimum $110, and sites cost nothing — so the software column does not move when the hire runs longer, because a licence already runs seven days. Delivery is not in these totals: courier within Sydney is $40 one way, or $539 for us to bring them and set them up. Either way you send them back — they arrive in a box built to go back in it. The fleet

Six Zebra TC8000s, and we will tell you their age.

They are from 2015. Zebra does not sell them any more, and we would not sell you one — but you are not buying it, you are counting with it for a few days.

PROVEN

Running the current app

The same build as every other scanner, whatever the current version is when they arrive. Nothing about these devices is a cut-down version — the Android floor came down to 5.1 so that they could run it, and they do.

TOUCH

No keypad, and it does not matter

A large screen with an on-screen number pad, and a proper scan trigger. The count box asks for digits, not a qwerty keyboard, because the app knows the difference.

SIX

Six is the whole fleet

Not six in stock with more in a warehouse — six is what exists. Two counts in the same week will collide, so tell us your dates early and we will hold them.

in the other, in front of blue stock totes on orange racking
One hand on the scanner, one hand on the stock. The trigger is under the grip and the screen does the rest — there are no keys to learn. It is carried like a tool rather than read like a phone, which is the whole reason it is shaped this way.

As the fleet grows these will be replaced with newer hardware. The hire rate is for a working scanner set up for your site, whichever model that turns out to be.

What arrives

Set up before it reaches you.

01

Configured for your site

Wifi, the scanner profile, the app installed and pointed at your portal, and the company and site already saved on the login screen. An operator signs in and counts.

02

All six charge at once, and so do the spare batteries

Included in the rate. Two four-bay cradles go out with the scanners — eight bays for six devices, so every one is on charge overnight and two bays spare — and each cradle charges four spare batteries beside the devices. A scanner that goes flat halfway down a bay is a ten-second battery change, not a walk back to a charger.

03

Your data already loaded

Parts and bin locations on the portal before the devices arrive, so the first scan of the day resolves to a description rather than an error. If your files need work, we will say so and quote it.

04

Back in the same case

They go home the way they came. Fair wear is expected — these are warehouse devices. Damage beyond that, or a device that does not come back, is quoted at what it costs to replace.

showing the Stocktakes Online sign-in screen, with spare batteries charging
                  in the bays beside them
The actual fleet, not a stock photo — six Zebra TC8000s on charge with spare batteries in the bays beside them, and the sign-in screen up on every one. This is what goes in the case. Charge only, no data, and nothing is lost by that: a count has already reached the portal before a scanner is put down, so there is nothing left on the device to come off it.
What we do and what we do not

We supply the tools. Your people do the counting.

Worth being plain about, because it is the first thing people ask and the answer decides whether we are the right call.

WE DO

Everything up to the count

  • The software, sold per stocktake
  • Zebra hardware to buy, or these six to hire
  • Devices staged and configured for your site
  • Loading your parts and bin locations
  • Fixing the files when they need it — quoted by the hour
  • Bin and product labels, printed and quoted from your list
  • Support on the phone while you are counting
WE DO NOT

Count your stock

We do not supply counting staff and we do not run the count for you. Your people know your stock, your racking and what a part looks like when the label has come off — and they are the ones who have to stand behind the numbers afterwards.

What we make sure of is that the tools do not get in their way: scanners that work, data that resolves, and someone on the phone if something does not add up.

racking beam from a couple of metres away, the aiming line visible across
                  the label
Read from where you are standing. A label on a beam above head height does not need a ladder or a second person — which matters most on the bays nobody wants to count.
Getting them to you

Quoted, because distance decides it.

We are in Berowra, north of Sydney. What it costs to get six scanners to you and back depends entirely on where you are, so we will not pretend there is a flat rate.

SYDNEY

Couriered, or delivered by us

$40 one way by standard non-urgent courier. Or $539 and we bring them ourselves, set them up and stay while your first operator signs in — that price includes the driving both ways, so it is the whole figure and not a starting one, and if the first hour turns into two we do not charge you for the second.

You send them back either way. They arrive in a case and a carton built to go back in, so booking the return is a phone call — and you are closer to your own courier than we are. A second drive out to collect six scanners is not something $539 can carry.

INTERSTATE

Couriered where it makes sense

Sent staged and ready, back by return courier. Quoted per job, and we will tell you plainly if the freight makes hiring the wrong answer.

PICK UP

Collect them yourself

The cheapest option, and often the fastest. Berowra NSW, by arrangement.

Booking ahead

If you are counting at 30 June, ask in May.

Plenty of Australian businesses that count once a year count at the end of the financial year, and they all want the same fortnight. There are six scanners. The last two weeks of June are the two we run out of first.

MAY

When to ask about June

A month is comfortable. It leaves time to load your parts and bins, send you a test label sheet, and courier the kit so it is on site the day before you start rather than the morning you do.

ANY

The rest of the year is easy

Outside that fortnight the fleet is mostly idle and a week's notice is usually plenty. Our longest-running stocktake customer counts in October and has never had to book far ahead.

PLAN B

If June is already gone

Count on your own Zebras and hire nothing - the software is the same price either way, and it runs on devices from 2015 onwards. Or count a week either side of the date; a stocktake stays open as long as you need it.

Before you ring

What people ask about hiring.

The questions that come up on the first call, answered here so the first call can be about your count instead.

What does it cost to hire a scanner?
$110 a scanner a day or $440 a scanner a week, inc GST, with charging cradles and spare batteries included. The rates are per scanner and untiered, so six for a week is six times $440 and there is no arithmetic hidden in it. Freight is quoted separately, because what it costs depends entirely on where you are.
Is the software included, or is that extra?
Stocktakes Online is included for the hire period, for the site and the number of scanners on your confirmation. If you count on your own Zebras instead and hire nothing, the software is the same price either way.
Do we pay up front?
If you have an account with us, nothing changes — some of our stocktake customers have been invoiced the same way for fifteen years. If we have not dealt with you before, the hire is paid before the equipment ships. We never see or hold your card number; anything paid by card goes through the payment provider's own page.
What happens if we break one?
Fair wear and tear is expected and never charged — scuffs, scratches, a worn keypad, a marked screen protector are what these devices are built for. Damage beyond that is charged at the repair cost, or at what an equivalent replacement costs us if it cannot sensibly be repaired, and you see the quote or the invoice before we charge anything. The full wording is in the hire terms.
Are the scanners insured?
No. Six devices is not a fleet worth a policy, so there is no insurer standing behind it — if something is broken or does not come back, it is between us. Worth checking whether your own business policy already covers hired equipment, because many do and it costs nothing to find out before you book.
What if a scanner dies in the middle of a count?
Nothing is lost. The scanner stores nothing — every count reaches the portal as it is made — so the operator signs in on another device and carries on from where they were. The practical warning is that if you hire all six there is no spare in the building, which is a reason to take one more than you think you need.
How far ahead should we book?
If you are counting at 30 June, ask in May: the last two weeks of June are the two we run out of first. Outside that fortnight the fleet is mostly idle and a week's notice is usually plenty.
Do you provide the wifi?
No. We supply the equipment; the network, the power and the building are yours, and we are not responsible for a count that ran long because the coverage was not there. We will help you test it before the day, and walking the wifi with a scanner rather than a phone is step 07 of the setup checklist.
Can we hire for longer than a week?
Yes, if the units are not promised to somebody else. Ask before the return date rather than after it. There are six scanners, so an extension is not automatic and we cannot promise one in advance.
How do they get to us, and back?
They arrive by courier, set up for your site — the app installed, signed in to your portal and tested — in a carton built for the return trip. Your parts and bin locations are loaded into the portal, not onto the devices, because the scanners store nothing; that is also why a scanner can be swapped mid-count without losing anything. Return freight is yours to arrange, in that same carton, by a method with tracking. Check everything against the delivery note the day it lands and tell us within two business days if anything is missing — that window protects you more than it protects us, because it is the only point at which anyone can tell a courier's damage from yours.
Before you book

Both of these are on the site, free, in public.

Nothing here is held back until you have committed to something. Read them before you ring us, not after.

The hire terms

One page, plain English. What you are hiring, what a day means, fair wear and tear against damage, who pays for what, and an honest account of what the software does and does not do. It prints and it has a signature block if you want one on file.
